The Executive Assistant will provide executive administrative support to LPL’s CEO, primary responsibilities include calendar and travel management, inbox management and preparing the CEO for all meetings.
Responsibilities:
- Handle all day-to-day responsibilities for the CEO.
- Calendar all meetings and keep CEO current with any changes; provide materials and order food/beverages where applicable.
- Keep CEO’s 6-month travel schedule up to date.
- Look ahead for opportunities to enhance the productivity of a trip. (i.e., check to see what top clients are in the area CEO is travelling to in case there is an opportunity for a meeting).
- Categorize CEO’s schedule so that team can perform a bi-annual calendar review and easily decipher where CEO is spending the most time.
- Act as “gatekeeper” to CEO to ensure CEO’s schedule is followed and respected.
- Arrange all aspects of travel including air, lodging, and transportation in conjunction with the corporate travel department.
- Ensure ease of travel (i.e., checking into hotel day before if CEO is travelling on a red eye, ensuring a block of time between red eyes and first meetings etc.)
- Management of CEO's inbox.
- Flag messages from clients, board members and prospective clients.
- Forward escalations as needed to the correct business owners.
- Act on behalf of the CEO when appropriate by responding to emails as agreed upon with the CEO.
- Prepare and review all documents for meetings as well as any department communications.
- Look ahead to all external meetings. Ensure prep meetings are scheduled and pre-read documents are received.
- Conserve the CEO’s time by reading, researching, collecting and analyzing information as needed, in advance.
- Engage with Board members appropriately. Understand the Board schedule, the CEO’s role in the Board meetings and ensure materials are reviewed by CEO before distribution.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
Requirements:
- 10+ years’ experience in C-Suite level executive administration support.
- Associate or Bachelor’s degree preferred.
- Team-oriented experience and the ability to create solid working relationships with other administrative staff and others within the department.
- Ability to interact with people of all levels, clients and senior leadership, in a confident, professional manner.
- Excellent organizational and customer service skills.
- Exceptional travel arrangement experience with proven success working across multiple time zones.
- Financial Services industry experience or supporting a growth organization is a plus.
- Exceptional written and verbal communication skills.
- Exceptional knowledge of all Microsoft applications - Excel, PowerPoint, Outlook, Word (MS Office Certification or equivalent operating knowledge preferred)
- An adaptable and flexible approach to thrive in a rapidly changing environment.
- A proactive and solution-oriented mindset, anticipating needs and taking initiative.
- High level of integrity and the ability to maintain confidentiality with sensitive information.
- Impeccable organizational and time management skills with the ability to multitask and prioritize effectively under pressure.
- This role is expected to work in the San Diego office on a full-time basis.
Pay Range:
$99,300.00 - $165,500.00
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
