This position will support the Regional Construction Management function within Global Facilities and provide administrative, financial, and other support to team members who lead project design and execution at multiple project scales and delivery methods in an energetic and fast-paced environment. The role is responsible to develop and maintain project controls procedures and processes by collaborating with peers and business partners to ensure adherence to corporate and organizational policies. The ideal candidate for this role has proven ability to be agile in reacting to changing policy and process, and able to identify and resolve issues resourcefully, and to work independently. Responsibilities: Create, manage and monitor requisitions in the development and approval of Construction in Progress (CIP), purchase, and change order requests for individual projects Engage with team members, vendors, and procurement to ensure changes to contracts and purchase orders are aligned with project specific Agreement language and intent Resolve concerns relating to contract changes, POs, and other vendor and contract management tasks, including project financial tracking, reconciliation and project close out Assist in the drafting, finalizing and ongoing development and proper upkeep of all project management related documents, forms, job and training aids, Develop and maintain project controls policies, procedures, processes and documents in support of the team Draft, finalize and make ongoing edits to the Construction Administration Playbook, using information and processes from a variety of sources, Assist team leaders in developing staff training and training plans, and provide training delivery to team members Periodically audit the project filing systems for adherence to document control standards of all project and business-related documentation Ensure audit readiness by conducting annual mock audits of finance, document control and contract controls Provide feedback and recommendations on experiences gained during implementation of new tools, processes or procedures Update project COI, MSA, CDA, and other agreement tracking, as needed, Assist in the preparation of project budgets, CIPs, and other financial documents and communications Attend and document project and internal staff meetings by keeping notes and sending minutes Daily operational support and all other duties as needed or assigned. Able to work independently to manage time and perform within required deadlines, managing both business and functional priorities Able to clearly communicate cross functionally about complex concepts with team members, other stakeholders and third parties and to build productive working relationships High level of organization, detail-orientation, initiative, motivation, and reliability to work autonomously receiving minimal instruction on day-to-day work/new assignments Applies company policies and procedures to resolve variety of issues, exercising judgment within defined procedures and practices to determine appropriate action Requirements: Typically requires a Bachelor’s degree and a minimum of 2+ years of related experience; or an advanced degree without experience; or equivalent work experience. Bachelor’s degree in Finance, Accounting, or related field is preferred. Experience working in the Architecture, Engineering, and Construction industry is required. Experience with construction project management, and construction contract and purchase management are required. Must understand principles and practices of construction contract administration. Must display proficiency in construction contract interpretation and management. Must work well independently in a highly collaborative environment with minimal direction. Must display strong written, verbal, and interpersonal communication skills. Must demonstrate critical thinking problem-solving skills, Must demonstrate proficiency in all applications within Microsoft Office Suite of software. Experience with SAP and it’s work modules, Adobe Sign and Ariba software packages is preferred. The estimated base salary range for the Construction Controls Specialist role based in the United States of America is: $73,400 - $110,200. Should the level or location of the role change during the hiring process, the applicable base pay range may be updated accordingly. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data. Additionally, all employees are eligible for one of our variable cash programs (bonus or commission) and eligible roles may receive equity as part of the compensation package.
