What You’ll Do:

Interview Scheduling:

  • Master of Calendars: Coordinate interview schedules between candidates, recruiters, and hiring managers using Outlook and Workday.
  • Logistics Wizard: Set up virtual interviews (WebEx, MS Teams) and in-person meetings, ensuring everything from meeting rooms to tech is perfect.
  • Follow-Up Pro: Ensure candidates have all the details they need, from location to expectations, and keep the ATS and trackers updated.

Recruitment Team Support:

  • Audit Ace: Regularly review the recruitment process to spot areas for improvement and ensure compliance with company policies.
  • Admin All-Star: Handle data entry, candidate tracking, and database maintenance with ease.
  • Feedback Facilitator: Prepare and distribute interview feedback forms, and compile feedback for review.

Project Management:

  • Project Partner: Help plan and execute recruitment projects, from special hiring initiatives to exciting events.
  • Deadline Dynamo: Track project milestones and deadlines to ensure everything is completed on time.
  • Cross-Functional Collaborator: Work with different teams to keep everyone aligned and informed.

M&A TA Team Support:

  • Offer Expert: Process offers for candidates in special onboarding cohorts, making sure all documentation is accurate and complete.
  • Onboarding Orchestrator: Coordinate with the M&A TA team to ensure a smooth onboarding process for new hires.
  • Materials Maven: Create and distribute onboarding materials and checklists.

Communication and Collaboration:

  • Candidate Champion: Serve as the main point of contact for candidates, providing them with interview confirmations, prep materials, and follow-up emails.
  • Inquiry Investigator: Answer candidate questions about roles, interview processes, and timelines.
  • Experience Enhancer: Keep communication timely, professional, and clear to ensure a positive experience for hiring managers, internal stakeholders, and candidates.
  • Team Talker: Participate in team meetings and provide regular updates on ongoing projects and tasks.

Continuous Improvement:

  • Process Pioneer: Identify and implement process improvements to make our recruitment function more efficient and effective.
  • Trend Tracker: Stay informed about the latest industry best practices and trends in talent acquisition.

What We’re Looking For:

  • Experience: 2+ years as a recruiting coordinator, with a knack for scheduling and calendar management in MS Outlook.
  • Organized & Efficient: Strong organizational and time-management skills, able to juggle multiple priorities.
  • Great Communicator: Excellent written and verbal communication skills.
  • Detail-Oriented: A keen eye for detail and a passion for delivering a fantastic candidate experience.
  • Adaptable: Comfortable in a fast-paced, dynamic environment where you can shift gears at a moment’s notice.

Preferred Qualifications:

  • Urgency: A strong sense of urgency to get things done.
  • Tech-Savvy: Familiarity with ATS systems, especially Workday.
  • Excel Expert: Proficient in Microsoft Outlook, Excel, Word, PowerPoint, and basic reporting.
  • Educated: A BA/BS degree in business or a related field is a plus, but equivalent experience is also valued.
  • Legal Knowledge: Familiarity with employment law as it relates to recruitment and hiring.
  • Social Media Savvy: Comfortable using social media platforms like LinkedIn and Indeed.

***Please note, this is a contract role, hybrid and and require you to work out of our San Diego office at least 3 days a week.***

Pay Range:

$22.90-$38.16/hour


 

Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
